IPS Event Attendee FAQs

IPS events are designed to welcome both IPS members and non-members, providing opportunities to learn, share knowledge and connect with colleagues across infection prevention and control.

We hope these frequently asked questions provide helpful information about bookings, attendance, cancellations and other aspects of our events. If you have any questions that are not answered here, please feel free to contact the IPS Events Team at [email protected], who will be happy to assist.

How do I book an IPS event?

All event bookings must be made through the online booking system on the IPS website. Click the ‘Book now’ link at the top of the page. Payment (where applicable) must be made by credit or debit card at the time of booking. We are unable to accept individual delegate bookings by email.

Can I pay by invoice?

We may be able to provide an invoice for bookings with a value of £100 or more, provided that a valid purchase order is received at least seven days before the conference or meeting date. Please email [email protected] for more information.

Do I need to be an IPS member to attend?

This depends on the event. Some events are open to both members and non-members, while others are exclusively for IPS members. Please check the event listing for eligibility and pricing.

How do I cancel my booking?

Cancellation requests must be made through the online event portal – please log in to your account. The deadline is normally seven calendar days before the event unless a different deadline is shown on the event booking page and in your booking confirmation email.

I have a complimentary place. What happens if I can't attend?

If you can no longer attend, please cancel your place through the online event portal before the published cancellation deadline. If you do not attend and have not cancelled in time, a no-show fee may be charged to help cover administration and event costs.

Can someone else attend in my place?

In many cases, yes. Delegate substitutions may be possible with prior approval. Please email [email protected] to request a substitution.

If your original booking was a for a complimentary or discounted member place, the replacement delegate must also be an IPS member. If a non-member attends instead, the published non-member rate will apply.

Can I share my virtual event link or record the session?

No. Your virtual event access link is provided exclusively for the person who registered and must not be shared with others. Recording, livestreaming, or using AI tools to capture, transcribe, summarise, or reproduce the event without prior permission is not permitted. If additional attendees would like to join, they should register separately.

For hybrid events, what happens if I book an online place but attend in person?

If you book an online place for a hybrid event but choose to attend in person on the day, you’ll be charged the in-person attendance rate.

Will I receive a refund if I cancel?

If you cancel before the published deadline, your event fee will normally be refunded, less an administration fee (usually 2.5% to cover payment processing costs, although this may vary by event).

How long do refunds take?

Approved refunds are normally processed within 14 days.

Why do you charge cancellation or no-show fees?

It is not the intention of IPS to profit from delegates’ change of plans. However, the Society incurs administrative and event costs when delegate places are cancelled or left unused, and these costs cannot be absorbed.

Where permitted, delegate places may be transferred with prior approval by contacting [email protected]. Complimentary or discounted member places may only be transferred to another current IPS member. If a complimentary or discounted member place is transferred to a non-member, the published non-member rate will apply.

I have extenuating circumstances and need to cancel after the deadline. What should I do?

If you have extenuating circumstances that prevent you from attending, please email the IPS Events Team at [email protected] as soon as possible. IPS will consider requests on an individual basis and may ask for supporting information before deciding whether an exceptional refund or alternative arrangement can be approved.

What happens if IPS postpones or cancels an event?

If IPS postpones an event and you cannot attend the new date, you will receive a full refund of any event fees paid.

Occasionally, IPS may need to cancel, postpone or make changes to an event, including the programme, speakers, venue or delivery format. We will provide as much notice as reasonably possible.

Will IPS cover my travel or accommodation costs if an event is cancelled?

No. IPS cannot accept responsibility for travel, accommodation or other expenses incurred by delegates if an event is cancelled or postponed.

Where can I find the IPS Events Terms & Conditions?

Is there a code of conduct?

Yes. All delegates are expected to comply with the IPS Event Code of Conduct and any venue rules. IPS reserves the right to refuse admission or remove anyone whose behaviour is disruptive, abusive or otherwise inconsistent with the Code of Conduct. No refund will be provided in these circumstances.

Is there a minimum age to attend?

Yes. Delegates must be aged 18 years or over.
